Exhibitor Booking – Terms and Conditions

Exhibitor Information

Exhibitors will be allocated space at the discretion of the organisers, Sheila Smith Sales and Events. Space will be issued according to industry sector, with a maximum of two stands per sector. Sheila Smith Sales and Events reserves the right to refuse any application or prohibit an exhibitor without assigning any reason for such refusal or prohibition.  Applications for stand space will be acknowledged via email. The exhibition co-ordinator will send an email to confirm the booking.

 A 13 AMP Electrical supply will be allocated as per booking confirmation. 

Exhibition Set Up Time

Exhibition set up times are from 8.30am.  All stands should be set up in advance of the exhibition opening time.

Exhibits

Exhibitors must not block the front of a neighbouring stand with their displays nor arrange their stand in such manner as to cause the visitors to block the aisle in front of it, or any adjacent stand.

Exhibits which, on inspection, do not reasonably satisfy the organisers shall be modified by the Exhibitor in such a manner and within such time as the Organisers may require. In default, the organisers may remove such exhibit at the expense of the Exhibitor who shall forfeit all sums paid in the form of hire charges.

Marketing / Publicity

An exhibition guide is issued to each confirmed exhibitor.  It is the responsibility of the exhibitor to supply a logo and a brief paragraph about the organisation at the time of booking and at the very latest two weeks in advance of the exhibition. Failure to submit the required information in the specified timeframe may lead to exclusion from marketing communications.

Upon application exhibitors agree that the supplied marketing information can be shared with third party suppliers for the sole purpose of marketing the event both before and after the exhibition.

Security / Public Liability Insurance

Sheila Smith Sales and Events cannot be held responsible for any loss or damage to exhibitor’s property. In the event of any loss or damage the organisers should be informed immediately. All exhibitors are required to hold Public Liability Insurance cover for a minimum of £1 million.

Covid-19

The organiser reserves the right to impose Covid-19 secure measures to comply with government guidance and to ensure all exhibitors, visitors and staff are as safe as possible throughout the event.  It is expected that exhibitors will comply with any measures that are put in place and which will be shared as we approach the exhibition and no later than two weeks prior to the event. (Examples but not limited to staggered arrival times for visitors, face coverings, track and trace system)

Payment Terms

The price of the exhibition is advertised on our website and collateral. You may pay for your booking online by credit and debit cards through our payment gateway. Payments made in this way are processed by a secure payment collection service. Our online payment processing is undertaken by PayPal, a secure internet payment service provider.

To successfully take an online payment, we will take your contact information in accordance with our Privacy Policy. For events booked online payment is due immediately, for all bookings made via an offline booking form payment is due within seven days of the invoice.

Our Cancellation and Refund Policy

Cancellations received in writing by Sheila Smith Sales and Events, more than 14 days before the Event, will be subject to a fee of 50%. No refunds will be made for cancellations after this date or for non-attendance.

Sheila Smith Sales and Events reserves the right in our absolute discretion, to cancel your booking where we need to do so due to circumstances outside of our control (including, but not limited to, situations where sufficient numbers have not booked for the Event or if you are more than 30 days in arrears with any payment due to us, or if it may prejudice our reputation). We shall have no liability for losses or costs which you may incur due to such cancellation, but we shall refund your booking payment (in full as soon as possible) or offer you an alternative exhibition if one is available. You have the choice of accepting the refund, a credit note or attending the alternative exhibition.

If we have to cancel the event due to government Covid-19 restrictions, we will re-schedule to an alternative date and postpone exhibitor bookings.  Cancellations will only be refunded in circumstances where a postponement is not possible.

We will usually refund any money received from you using the same method originally used by you to pay for your purchase but reserve the right to refund using an alternative method.

Our Right to Vary these Terms and Conditions

We have the right to revise and amend these terms and conditions from time to time to reflect changes in technology, changes in payment methods, changes in relevant laws and regulatory requirements and changes in our system’s capabilities.

You will be subject to the policies and terms and conditions in force at the time that you place a booking with us, unless any change to those policies or these terms and conditions is required to be made by law or governmental authority (in which case it will apply to bookings previously made by you), or if we notify you of the change to those policies or these terms and conditions before we send you the Booking Confirmation (in which case we have the right to assume that you have accepted the change to the terms and conditions, unless you notify us to the contrary within seven working days of receipt by you of the Booking Confirmation).

Law and Jurisdiction

Contracts for the booking of Business Expo exhibitions through Our Site will be governed by the law of England and Wales. Any dispute arising from, or related to, such Contracts shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.
